How to manage group structure

One of the most important and used data points in IA is the groups. The groups are usually used to cluster the participants. Programs related to education usually set the groups according to the different programs offered, for example, adult, youth and kids. Some clients prefer to set the groups according to the staff hierarchy and among other use cases.

Users are now able to manage the groups in IA. There are a few actions that can be taken:

  • Rename a group

  • Add new a group

  • Delete a group

  • Request a group structure change

To access this functionality, go to Program Management on the left side menu:

Then click on Manage Groups:

Rename a group

In order to rename a group, you just need to go to the text field, enter the new name and then hit "Activate Name Changes":

In this example we changed "Program 1" to "Program 123" and then click on "Update" right next to the renamed group:

A confirmation message will pop up meaning the process is concluded:

Add a new group

In order to add a new group, you can hit "Add new" under the structure you want to create. In this example, we are going to create a new group under "Livelihood Program":

Type the name you want for the new group and click on "Save" right next to the group:

Please note that the group structure needs to have the same quantity of levels. In this example, there are 3 levels:

  • Level 1: Livelihood Program

  • Level 2: Program 123

  • Level 3: Groups 15, 16, 17, 18

That means that at least one group needs to be created under "Program 456" to have this structure working properly.

Delete a group

To delete a group, you just need to click on "Remove" next to it:

However, some checks are performed to guarantee the group deletion will not impact in other data points. Whenever one or more rules are not attended, a message will be displayed explaining the error and the action that should be taken. The actions need to be completed to be able to proceed with the deletion.

There are 3 main checks:

  • Participants assigned to the group: can be managed by the client;
  • Users assigned to the group: can be managed by the client;
  • Trainings assigned to the group: client needs to send a request to IA;

Request a group structure change

A group structure change is when you are aiming to change the number of levels. In our case, we are working with 3 levels and let's say we want to change it to 4, for example. So, that would be a structure change. For such cases, you need to place a request to IA.
